The Digital Gig | Workflow improvement

Stop losing hours to work that should run itself.

We help growing B2B service firms identify and fix repetitive workflows — from client enquiries to proposals and follow-ups. We measure the improvement, use the simplest reliable technology and keep your team in control.

One workflow. A clear business case. No technology for technology's sake.

Not sure where AI fits in your business? We'll tell you where it adds value — and where it doesn't.

Where does your team lose time?

Common examples of what we investigate in professional and technical service firms.

01

Repetitive administration

Copying information between emails, spreadsheets and business systems. Re-entering the same data. Preparing documents that follow the same patterns every time.

02

Disconnected workflows

Client information scattered across tools. Tasks passed between people without clear ownership. Important steps dependent on someone remembering to follow up.

03

Manual follow-ups and reporting

Chasing missing information, checking status updates and assembling recurring reports manually instead of focusing on work that requires human judgement.

The problem is not access to AI tools. It is knowing which workflow is worth improving — and making the improvement work reliably.

Where AI makes sense — and where it doesn't

Most firms don't need more AI tools. They need to know where AI is worth using. We give you an honest answer for each step of a workflow.

Good fit for AI

  • — Reading and sorting incoming enquiries
  • — Drafting first versions of proposals and replies
  • — Extracting details from documents and forms

Simple automation is enough

  • — Reminders and follow-up nudges
  • — Moving data between tools
  • — Routine status reports

Keep it human

  • — Pricing and commercial decisions
  • — Client relationships
  • — Anything sensitive or high-stakes

Sometimes the best recommendation is no technology at all. We'll tell you when that's the case.

Illustrative example — not a customer case study

From repetitive work to a workflow that works.

We start by understanding how the work actually happens. Then we redesign the process, automate appropriate steps and measure what changes.

Current process

  1. Incoming enquiry
  2. Manual data entry
  3. Proposal preparation
  4. Follow-up

Possible improved process

  1. Incoming enquiry
  2. Information extraction and draft preparation
  3. Human review
  4. CRM update and follow-up

↳ Exceptions and anything unclear are routed to a person, never sent automatically.

  • Conventional automation — fixed, predictable rules
  • AI-assisted — only where information is unstructured
  • Human approval — a person decides

Deterministic steps use conventional automation. AI is used only when it helps interpret unstructured information such as free-text emails or attachments.

A practical path from problem to measurable improvement.

  1. 1. Diagnose

Map one workflow, understand its volume and bottlenecks, establish a baseline and assess whether improvement is economically and technically viable.

  2. 2. Improve

Redesign the process and implement a bounded solution using existing tools wherever possible. Use AI only when it provides a meaningful advantage.

  3. 3. Prove

Measure the result against the baseline, document the workflow, enable the team and agree on any further improvements.

Proposed launch prices. All prices exclude VAT. Third-party licences and API costs are not included and are agreed in advance.

1–2 weeks · one workflow

Workflow X-Ray

Understand one important workflow, identify unnecessary work and determine what is worth improving before investing in implementation. Includes a clear verdict on whether AI, simple automation or no change is the right option for this workflow.

Proposed price

€790

Excl. VAT. Limited to one workflow — this is not a business-wide audit.

Includes

  • — Mapping of one current workflow
  • — Baseline of relevant volume, effort, delays or errors
  • — Identification of bottlenecks and unnecessary steps
  • — Technical feasibility and data-risk assessment
  • — Prioritised recommendation and indicative business case
  • — Clearly scoped implementation proposal, if justified

Not included

  • × Implementation of any solution
  • × Reviews of more than one workflow

Excl. VAT. The final price depends on workflow complexity, integrations, data quality and agreed scope. Scope and acceptance criteria are fixed in writing before work starts.

Includes

  • — Agreed future-state process
  • — Implementation of one bounded workflow
  • — Integration with up to two agreed systems, where technically feasible
  • — Test cases covering normal operation and exceptions
  • — Human approval and recovery procedures where appropriate
  • — Documentation and team handover
  • — Before-and-after measurement against agreed criteria

Not included

  • × Bespoke software platforms
  • × Unlimited integrations
  • × Unbounded custom development
  • × Autonomous, high-risk AI agents
  • × Third-party licences and API costs
  • × Unlimited support or ongoing changes

How this is calculated
  • Hours released = items per month × minutes saved per item ÷ 60
  • Capacity value = hours released × loaded hourly cost
  • Net benefit = capacity value × share with real economic value − extra monthly running costs
  • Payback = implementation cost ÷ net monthly benefit (only shown when the benefit is positive)

Describe one workflow. Get a preliminary view.

Answer a few short questions. You'll get a cautious first classification — not an audit.

Questions on trust, data and scope

Do we need to change our existing software?

Usually not. We work with the tools you already use wherever possible. If a change would genuinely help, we explain why and what it costs before anything is decided.

How do you decide whether AI is necessary?

We start with the simplest option: removing unnecessary steps, then conventional automation with fixed rules. AI is considered only when a step involves unstructured information, such as free-text emails or documents, and it provides a clear advantage.

How do you measure the result?

In the diagnosis we record a baseline — volume, time per item, delays or errors. After implementation we measure the same indicators against criteria agreed in writing.

What happens when the automation fails?

Every pilot includes test cases for exceptions and a recovery procedure. Items that fail or look unusual are routed to a named person rather than being processed silently.

Who reviews AI-generated information?

Your team does. Consequential decisions and external communications stay under human review and approval.

How is our data handled?

Before any implementation we review which data the workflow uses, which providers would process it and their terms, and agree the arrangement with you in writing. We do not ask for confidential documents before that point. We are not a substitute for legal, cybersecurity or regulatory advice.

What is included in the fixed fee?

The Workflow X-Ray is a fixed €790 excl. VAT for one workflow. A pilot is quoted at a fixed price once scope, integrations and acceptance criteria are agreed. Third-party licences and API costs are separate and agreed in advance.

What happens after implementation?

You receive documentation and a team handover. Further improvements or ongoing support are available by agreement, but they are not required.
